Promotion and advertising guidelines for Deakin campuses

Deakin's vibrant community features student and staff-run clubs, societies, and organisations involved in diverse activities. These groups use posters, banners, flyers, A-frame sandwich boards, and chalking to promote events and perspectives on campus.

To ensure a welcoming, safe, respectful and inclusive environment, Deakin has set clear guidelines for promotional activities.

An overarching requirement is that all promotional material adheres to legislative requirements and university policies, preserves infrastructure, and promotes an environment in accordance with the commitments set out in the Code for Upholding Freedom of Speech and Academic Freedom.

Any promotional material not adhering to these requirements will be removed.

Guidelines

Posters:

  • Only Deakin students and staff can use noticeboards for posters.
  • DUSA-designated noticeboards are only for approved DUSA activities.
  • Use tack pins or tape to affix posters; glue is not allowed.
  • Each poster should only cover 1/4 of the noticeboard.
  • Staff will regularly clear noticeboards of all posters.

Flyers:

  • Only Deakin students and staff may distribute flyers for affiliated events.
  • Dispose of flyers properly to prevent pollution.
  • Flyers will be removed during scheduled clean-ups.

Chalking:

  • Chalking on roadways and footpaths is allowed in uncovered areas only.
  • The use of spray chalk or substances added to chalk for rain resistance is not permitted.
  • Chalking on buildings, garden beds and construction site facades is prohibited.
  • Other materials such as crayons or ink are prohibited.
  • Chalking will be cleared regularly by designated staff, noting chalking is temporary.

Banners:

  • Deakin, affiliated DUSA clubs and societies, or authorised organisations* may display banners.
  • Banners will be removed where they present a safety hazard, damage vegetation or property, are affixed without permission to infrastructure, or breach University Regulations or Policies, including but not limited to the Student and Staff Codes of Conduct.

A-Frame:

  • Deakin, affiliated DUSA clubs and societies, or authorised organisations* may display A-Frames.
  • A-Frame display is limited, and permission is based on location and volume.
  • Boards must be positioned to avoid safety risks; failure to comply may result in removal.

Graffiti:

  • Unauthorised use of paints or chalking will be treated as graffiti and swiftly removed.
  • Individuals defacing University property may face consequences under University policies or be referred to the Police.

Other display materials:

  • The use of stickers is prohibited except for approved University activities.
  • Approved stickers must be promptly removed after the specified period.
  • Materials from unaffiliated groups will be removed during scheduled area cleans; associated costs may be charged back.
  • Where the University incurs costs to remove, clean, or remediate any actions, this cost will be passed on to the responsible party.
